When to use this letter

Send a two weeks notice letter when you’ve decided to leave your job and want to resign professionally. Two weeks is the standard notice period in the US. Most jobs are at will, so it usually isn’t legally required, but it’s expected, and it protects your references.

Tell your manager in person or on a call first, then send the letter the same day so there’s a written record of your last day.

How to fill it out

Part What to write
Your details Your name, address, email and phone.
Date The day you hand in or send the letter.
Manager and company Your manager’s name and title, and the company address.
Opening Your job title and your exact last day.
Thank-you One specific, sincere thing you appreciated. Keep it short.
Transition What you’ll do to hand off your work.
Closing A brief good wish, then “Sincerely” and your name.

Tip: Keep it positive and brief. A resignation letter goes into your personnel file. It isn’t the place for complaints, which belong in an exit interview, if anywhere.

Filled-in example

Dear Karen,

Please accept this letter as formal notice of my resignation from my position as Marketing Coordinator at Brightline Supply Co. My last day of work will be Friday, November 20, 2026, two weeks from today.

Thank you for the opportunities I’ve had during my time here. I’ve especially valued the chance to run the spring product launch and to learn from you.

Over the next two weeks I’ll finish the holiday email calendar, document my weekly reporting process, and help train whoever takes over my accounts. Please let me know how else I can help.

I wish you and the team all the best.

Sincerely, Jordan Ellis

Frequently asked questions

Is two weeks’ notice required by law?

In most US jobs, no. Employment is usually at will. Your employment contract or union agreement may require notice, so check it.

Should I send the letter by email?

Email is fine and common. Attach the letter as a PDF or paste it into the email, and keep a copy for yourself.

Can my employer make today my last day?

Yes. In an at-will job, an employer can accept your resignation effective immediately. Be ready for that possibility.

Do I need to say why I’m leaving?

No. A simple statement that you’re resigning is enough.
